MARA Surveys: How to implement survey links in your mailing

Add your MARA survey link to your post-stay or in-stay emails - as a static link or with guest data attached.

You cannot send your survey emails directly via MARA. Instead, after creating your survey in MARA, you add the provided survey link to the email you already send from your PMS, CRM or mailing tool. This article explains the two ways to do that, a static link or a link with guest data, and how to best set it up depending on whether or not you have an active PMS integration in MARA.

Before you start

Each survey belongs to exactly one property. If you run several hotels, create one survey per property and use the matching link in each hotel's post-stay email.

To find your link, go to Surveys (under Gather & Showcase), click Share next to the survey, and copy the link. It looks like this:

Make sure the survey's status is active (blue toggle) before guests receive the email. Inactive surveys don't collect responses.

Option 1: Static Survey link

The static link is the survey link exactly as you copied it. You paste it into your email template, for example behind a "Share your feedback" button, and every guest gets the same link.

Best for: getting started quickly, or mailing tools that can't insert guest-specific placeholders into links.

Keep in mind: MARA doesn't know who answered. Responses are anonymous unless the guest enters contact details in the survey, so you can only reply to guests who leave their email. There's also no match to PMS reservations, so no reservation details (e.g., room or rate) are linked to the survey responses.

šŸ’”Tip: In the survey settings, you can ask guests for their name and email always, never, or only for positive or only for negative ratings. If you use a static link, ask for contact details at least for negative ratings so you can follow up.

Option 2: Survey link with Metadata

You can add guest data to the end of the static link. Your mailing tool replaces the placeholders with each guest's values when the email is sent, so every guest gets a personal link. MARA stores these values with the response, and you'll see them under additional details in your inbox.

How the link is built

Start with your static link, add a ?, then add parameters as name=value. Separate additional parameters with &.

Pre-defined URL parameters MARA uses

Certain parameters fulfill a specific function if attached to the link - make sure to name them exactly as below so that MARA can use them.

Parameter

What to put in

What MARA does with it

reservation_id

The PMS reservation ID

or MEWS confirmatio number

Matches the response to the PMS reservation (requires an active PMS integration)

room_nr

The room number the guest stayed in

Enables room-level analysis without a PMS integration

email

The guest's email address

āš ļø If you pass the guest's email, make sure your privacy notice tells guests their email is used to respond to their feedback.

Lets you reply to the feedback directly from MARA

name

The guest's name

Used to address the guest in your replies

Custom URL parmeters

You can also add custom parameters, such as UTM tags (utm_source=<value>), to track channels or A/B test your email. Custom values can be named as you wish and are saved with each response.

Placeholders depend on your mailing tool

Each PMS, CRM or mailing tool has its own placeholder syntax. Check your tool's documentation for the field that contains e.g., the reservation ID. Here are some real examples:

Tool syntax

Example link

{{ }}

…/surveys/<MARA-survey-id>?reservation_id={{reservation_id}}

## ##

…/surveys/<MARA-survey-id>?reservation_id=##reservation_id_pms##

{ } (e.g. Mews)

…/surveys/<MARA-survey-id>?reservation_id={confirmationNumber}&name={name}

When the email is sent, the placeholder is replaced with the real value. For MARA survey ID = 86bae05x-951b-41ba-ad17-bdfb11e04bb7 and a guest with reservation ID = 123456, the link for survey becomes:

https://app.mara-solutions.com/surveys/86aae05a-951b-40ba-ad17-bdfb11e04bb7?reservation_id=123456

Setup with a connected PMS

If your PMS is connected to MARA (see PMS Integrations), always include reservation_id. This is what links survey responses to your PMS data.

Once a survey response is matched, you'll see reservation details of this guest such as room number, room type, rate and length of stay below the response in your Inbox. The survey feedback then also feeds into your room- and rate-level analytics and MARA adds guest preference notes to the guest profile or reservation based on the survey feedback.

The value must be the reservation ID as it exists in your PMS, not an internal ID from your mailing tool.

Further we recommend adding email and name, because MARA doesn't receive this data from the PMS. email allows you to respond to each survey feedback from within MARA without having to ask your guest for contact details. name is used to address the guest in replies.

Sending post-stay mails via MEWS: MEWS only allows you to add certain guest variables in your mails. To enable data matching, use the confirmation number as the reservation ID, for example ?reservation_id={confirmationNumber}. Including an email address is currently not supported but you can attach the guest's name:

https://app.mara-solutions.com/surveys/<survey-id>?reservation_id={confirmationNumber}name={name}

Setup without a PMS

Without an active PMS integration in MARA, we can't pull reservation details based on the reservation_id. Use additional parameters your mailing tool can fill to make sure each survey response comes with the information you need:

  • reservation_id

  • room_nr enables room-level analysis.

  • email lets you reply to every response, even if the guest skips the contact step.

  • name allows MARA to use the guest's name in the reply.

  • additional custom parameters

Test before going live

  1. Send the post-stay email to yourself using e.g., a test reservation.

  2. Click the link and check the URL in your browser. The placeholders should be replaced with real values. If you still see {{reservation_id}} or ##…##, the placeholder syntax or field name is wrong.

  3. Submit a response, then open it in your MARA Inbox and check that the values appear in the response details. With a PMS integration, the reservation data should appear too.

Common pitfalls

  • Wrong separator: use ? before the first parameter and & before every additional one.

  • Survey is inactive: the link opens, but no responses are collected.

  • Wrong link for the property: in a multi-property setup, check that each hotel's email links to that hotel's survey.

  • Anonymous responses seem to be missing: by default, the Inbox only shows feedack you can reply to. Turn off that filter to see all survey responses.
